Tasks pile up quickly in the dental office; I get it. But outsourcing certain tasks can cause more harm than good. Explore these five must-follow rules when outsourcing dental support services.

1. Be Patient-Minded

Whether you're considering outsourcing your dental insurance claim filing or dental practice website design, it is critical to first think about your patients. Medical histories and sensitive information, such as phone numbers, emails, and addresses, are all listed and easily accessible by the company you choose. If nothing else, ensure the company you hire for outsourcing dental support services follows strict HIPAA guidelines and patient privacy protocols.

2. Gauge Dental Knowledge

Here me out... would you want someone who has done one oil change in their lifetime to service your entire car before a big road trip? Probably not, right? Well, the same goes for dental services. Just because someone worked in a dental call center for a few months does not mean they are adequately equipped to file dental claims and post payments.

3. Read The "About" Section

To be frank, it is not challenging to open a business and claim to be an expert in something. Do your due diligence before hiring any dental support service to ensure they are capable of being trusted with the tasks at hand. I always suggest reading a company's "About" section because I usually see one of two things—passion or pretense. AI can make everyone sound like a pro these days, so look for authenticity, not artificiality.

4. Hire Local When Possible

Each state has its own set of rules, regulations, and industry standards in the dental field. Local service providers are familiar with these rules, which means they can offer services that are compliant with state laws. This can save you from potential issues that arise from outsourcing to businesses that may not understand Florida's specific requirements.

5. Perfect Everything Else First

Lastly, if you are considering outsourcing for dental support, you must ensure that the rest of your practice is running smoothly. Many times, dental professionals think, "If I could just get this one thing off my plate, I'd have more time to focus on patients." While this is true, outsourcing before you have a good in-office routine is like watching a show or movie before any edits are done. Will you understand the storyline? Probably. Will the movie be any good? Probably not.

Let's say you outsource your practice's dental billing, but don't have a good system for recording patient notes. You can almost guarantee that there will be inaccuracies, claim denials, and, worst of all, unhappy patients. A reputable company should help you improve in-office routines, not make more of a mess.
